Getting your business on WhatsApp API is not complicated — but it has a specific sequence, and skipping any step costs you days of back-and-forth with Meta. This guide walks through every step in the right order, based on setups done for Indian businesses across retail, healthcare, and education.

Set aside about 30 minutes for the initial paperwork. The waiting happens on Meta's side — the actual work on your end is minimal.


What You Need Before You Start

  • A Facebook account linked to your business email
  • One of: GST certificate, trade license, or government-issued ID (for Meta Business verification)
  • A phone number not currently registered on any WhatsApp account
  • Your business name as it appears on official documents

Step 1: Create and Verify Your Meta Business Manager Account

Go to business.facebook.com and create a Business Manager account. Use your business email, not a personal Gmail.

Once inside, go to Business Settings → Business Info and submit your business for verification. Upload your GST certificate — it is the fastest document to process for Indian businesses. Personal ID (Aadhaar or PAN) works too but sometimes takes longer.

What can slow this down: If your Facebook account is less than 3 months old, Meta may flag it for extra review. If your business name on Meta does not exactly match the document you uploaded, they will reject the verification and ask you to resubmit.

Meta verification usually takes 1–3 business days. Start this first while you evaluate BSPs — the timelines overlap.


Step 2: Choose a WhatsApp BSP and Sign Up

A BSP (Business Solution Provider) is the company that connects your number to Meta's infrastructure. You cannot connect directly without going through one.

For most Indian small and mid-sized businesses, Chativo is the most practical starting point. Step 3: Register Your Phone Number

Inside your BSP dashboard, there will be a setup flow for connecting a WhatsApp number. You will need:

  • The phone number (not currently on WhatsApp)
  • A code from your Meta Business Manager to connect the two accounts

Your BSP's onboarding will guide you through this — it takes about 10 minutes of actual work. The number registration with Meta happens in the background.

Important: If you want to use an existing number that is currently on WhatsApp, delete the WhatsApp account on that phone first. There is a 72-hour waiting period after deletion before it can be registered via API.


Step 4: Get Your Display Name Approved

Your display name is what customers see when you message them. It shows up instead of your phone number.

Submit it inside your BSP dashboard. Rules:

  • Must closely match your business name or website domain
  • No emoji, no generic phrases ("Best Deals India" will be rejected)
  • No claims you cannot substantiate ("India's #1 Service" will be rejected)

Your actual business name almost always gets approved within a day.


Step 5: Build Your Opt-In System

This step is the one most businesses skip — and it is the one Meta enforces most strictly.

You cannot message customers who have not explicitly agreed to receive WhatsApp messages from you. Required opt-in channels:

Website: Add a checkbox to your contact or enquiry form: "I agree to receive WhatsApp messages from [Business Name]." The checkbox must be unchecked by default.

In-person: If you have a physical store, you can ask customers to send a keyword (e.g., "JOIN") to your WhatsApp number. Chativo can auto-respond and add them to a list.

Existing customers: Send a one-time opt-in message via SMS or email asking permission. Only after they reply yes can you message them via API.

Do not import a list of phone numbers and blast everyone. Meta monitors complaint rates — even 2–3 spam reports on a new number can drop your quality rating.


Step 6: Create Your First Message Templates

Before you can initiate a conversation, Meta needs to approve a template for that message type.

Start with these three:

  1. Welcome/support reply — "Hi [Name], thanks for reaching out. We will get back to you within [Time]. Meanwhile, let us know more about what you need."
  2. Appointment reminder — "Hi [Name], just a reminder about your [Service] appointment on [Date] at [Time]. Reply CONFIRM to confirm or CANCEL to reschedule."
  3. Order/service confirmation — "Hi [Name], we have received your [Order/Request]. Here are the details: [Details]. We will update you when it is ready."

Submit these via your BSP dashboard. Templates with natural conversational language are approved within a few hours. Templates that read like promotional flyers take longer or get rejected.


Step 7: Set Up Your First Automation

Once you have at least one approved template and your number is live, set up one automation before you go live:

Auto-reply to incoming messages: When a customer sends you a message first, they expect a quick response. Set up an auto-reply: "Got your message — we will reply within 2 hours. If it is urgent, mention it and we will prioritise."
